1. Who we are
Dialzee CRM is provided by Quantuvate LLC, 8461 Lake Worth Road, Suite 437, Lake Worth, FL 33467. Questions about privacy can go to hello@dialzee.com.
2. Two different roles
- Your account and our website. For information about our customers and website visitors, we decide how it's used.
- Customer Data. Businesses use Dialzee to store information about their own leads and contacts, and to record their calls. For that information, the business is in charge and we act on its instructions. If you're a lead or contact of a Dialzee customer and have a question or request, please contact that business first.
3. What we collect
- Account details: name, work email, company name, password (stored only in scrambled, hashed form), and role.
- Billing details: billing name and address, tax ID, and invoices. Card numbers are collected and held by Stripe. We only see the card brand, last four digits and expiry date.
- Customer Data: leads, contact details, notes, call recordings, transcripts, text messages and emails that a customer stores in or sends through Dialzee.
- Usage records: call minutes, messages sent, AI use, activity in the product, sign-in times, and IP addresses.
- What you send us: demo requests, contact form messages and support emails, including your name, email address, and any company or phone number you give us.
4. How we use it
- To provide Dialzee, place calls and deliver messages.
- To run AI features the customer uses, such as transcripts and coaching.
- To bill customers, prevent payment problems and keep records of agreements.
- To send service messages such as receipts, renewal reminders, usage alerts and security notices.
- To keep Dialzee secure, investigate misuse, and meet legal and carrier obligations.
- To support customers and improve the product.
Where the law requires a legal basis, we rely on performing our contract, our legitimate interests in running a secure and useful service, our legal obligations, and consent where it's needed.
5. AI processing
When a customer uses AI features, call audio and related text are sent to the AI providers listed below so they can produce a result. We don't sell this information, and we don't use Customer Data to train our own models.
6. Who we share it with
We don't sell personal information, and we don't share it for cross-context advertising. We share it with these providers, who work on our behalf:
| Provider | What for | What they receive |
|---|---|---|
| Stripe | Payment processing and subscriptions | Billing details, payment information |
| Telnyx | Phone calls, text messages and phone numbers | Phone numbers, call audio, message content |
| OpenAI | Call transcripts, call review, coaching and suggestions | Call audio, transcripts, lead and call details sent to AI features |
| ElevenLabs | AI voices for voicemail drops, when a customer uses them | Script text and voice samples provided by the customer |
| Amazon Web Services | Hosting dialzee.com and sending email | Website requests, contact form messages, email addresses and email content |
| Railway | Application hosting and databases | All data stored in Dialzee |
| Zoom | Meetings, when a customer connects it | Meeting and attendee details |
| SendGrid | Sending email, when a customer connects its own account | Email addresses and email content |
| Lunacal | The appointment booking form inside the app | Details entered when booking |
| Twilio | Older call recordings from before we moved to Telnyx | Those recordings |
We may also share information if the law requires it, to protect rights and safety, or as part of a merger or sale of our business.
7. Text messages
Mobile information, including phone numbers and text messaging consent, isn't shared with third parties or affiliates for their marketing or promotional purposes. Message and data rates may apply to text messages. Anyone who receives a text sent through Dialzee can reply STOP to opt out, and Dialzee then blocks further texts to that number. Our SMS Policy has the details.
8. Cookies
We use cookies that are needed to keep you signed in and to keep your account secure. We don't use advertising or analytics cookies on dialzee.com or in the product. Our Cookie Policy has the details.
9. How long we keep it
We keep account and Customer Data for as long as the account exists, including while it's on hold. After an account ends, a customer can ask us to export or delete its data. We keep billing records and records of agreements for as long as tax and legal rules require, usually at least seven years.
10. Security
Each company's data is kept separate from other companies' data. Traffic is encrypted in transit, passwords are hashed, and access to company data by our staff is limited and logged. No system is perfectly secure. If a breach affects your information, we'll tell you as the law requires.
11. Your rights
Depending on where you live, you may have the right to know what we hold about you, get a copy, correct it, delete it, object to or limit certain uses, and not be treated differently for asking. Residents of California and other US states with privacy laws, and people in the UK and European Economic Area, have rights of this kind.
To make a request, see Your Privacy Rights or email hello@dialzee.com. We'll need to confirm who you are, and we'll reply within the time the law requires. If your request is about Customer Data, we'll pass it to the business responsible or ask you to contact them. You may also complain to your local data protection authority.
12. International transfers
We and our providers work in the United States and other countries. Where we move personal information across borders, we use the safeguards the law requires.
13. Children
Dialzee is for businesses and isn't meant for anyone under 18. We don't knowingly collect information from children.
14. Changes to this policy
If we make a significant change, we'll tell customers by email before it takes effect, and update the date at the top of this page.
